This critical role involves developing precise cost estimates for various audio-visual (AV) projects, ensuring all aspects of the project are accurately accounted for. The successful candidate will work closely with the sales and project management teams to ensure that all estimates meet the client’s requirements and adhere to company standards.
General Responsibilities:
•Project Review and Analysis: Thoroughly review project details, client requirements, and technical specifications to understand the scope and unique needs of each project.
•Cost Estimation: Accurately estimate costs for AV equipment, software, mark up, and any additional services required for the project.
•As-built Drawings Interpretation: Ability to somehow read and interpret drawings and specifications to determine project requirements and necessary AV components to assist the Designer.
•Estimating Software: Proficiency in using tools to create and manage estimates. Familiarity with Microsoft Excel and Google Sheets is a must.Vendor Coordination: Communicate with vendors and suppliers to obtain the best pricing for equipment and materials. Negotiate terms and ensure timely procurement.
•Bid Management Software: Familiarity with Google Calendar and ClickUp to track bid due dates.
•Proposal Preparation: Prepare detailed and well-structured proposals that outline all estimated costs and project specifics. Present proposals to clients and stakeholders in a clear and professional manner.
•Client Interaction: Engage with clients to discuss project requirements, answer questions, and provide explanations of the cost estimates and proposed solutions.
•Database Management: Maintain databases with current pricing and cost information. Ensure all data is accurate and accessible for future projects.
•Quality Assurance: Verify that all estimates are complete, accurate, and compliant with company policies and client expectations. Conduct regular reviews to ensure continuous.

Qualifications:
• Attend Sales and Marketing meetings to review bid opportunities and discuss its requirements with the Sales and Design Team.
• Examine bid specifications to understand the scope and requirements of upcoming AV installations.
• Calculate detailed cost estimates for AV equipment and other related expenses. This involves creating itemized lists and applying current pricing.
• Contact vendors and suppliers to obtain up-to-date pricing for AV components and materials.
• Negotiate terms to secure the best prices.
• Draft comprehensive and competitive proposals that include detailed cost estimates, project timelines, and technical specifications.
• Communicate with prospective clients to gather additional project details, answer questions, and clarify requirements. Present and explain cost estimates and proposal.
• Work closely with the sales team and design team to ensure estimates align with client expectations and budget constraints. Collaborate with purchasing team to understand lead times and logistical needs.
• Maintain organized records of all estimates, proposals, and related communications for easy access and reference.
• Stay informed about the latest industry trends, emerging technologies, and changes in market pricing. Regularly review industry publications and attend relevant webinars or conferences.
• Review estimates for accuracy and completeness before submission. Verify that all aspects of the project have been considered and that the estimates meet company standards.
• Participate in Final Review of estimates and proposals with Sales Team, Design Team, and CEO to ensure consistency and accuracy across the team.
• Conduct follow-up calls with clients to address any concerns and provide additional information as needed.
• Incorporate client feedback into revised estimates and proposal, ensuring client satisfaction and project alignment.
• Track progress of bids to reflect any changes in the status of the bid.
• Prepare and submit regular reports on the status of bids highlighting any significant changes or updates.
• Coordinate, schedule, and facilitate Internal Kick Off Meetings for awarded projects to ensure smooth relay of information to parties involved.
Stipend: $45k ~ $50k/year
Working Hour: Mon – Fri, 7:30 A.M. to 4:30 P.M.
